There are a lot of complexities involved in managing large training operations. Law enforcement agencies must train agents in numerous topics and skills as well as monitor multiple certifications and ongoing training compliance. Multiply this challenge by tens of thousands distributed across a large geographical area to get an idea of the enormous logistics and data management efforts required of federal agencies and why comprehensive federal training operation software is so important. 

The Challenge

A federal agency working in partnership with Department of Homeland Security (DHS) leadership at both federal and local levels needed to modernize and optimize its training operations. Ensuring personnel had seamless access to high-quality training while improving program management, measurement, and performance was a top priority. Additionally, the agency required a federal training management system with granular permissions and centralized oversight to enable efficient training management, role-based access, and comprehensive preparedness insights.  

The Change

By implementing Acadis, a federal training management system (TMS), the agency consolidated multiple disparate DHS databases which greatly improved training management efficiency and accessibility for its 13,000+ users. With a single system to streamline communication and training information, backed by the stringent federal government security requirements and permission levels for all internal and external training partners—the agency was able to deliver and track training for all of its constituents on a single platform, not restricted by a federal firewall that would have inhibited its ability to include state and local personnel. One of the federal agency’s constituents, which includes more than 4,000 members, doubled its mandatory training completion rates after moving to Acadis. Streamlining and simplifying processes, such as shifting from a PDF registration process to Acadis’ secure, online registration process, removed obstacles that contributed to the low training completion rates. Acadis removed many manual and time-consuming steps to help ensure the federal agency’s constituents received the most up-to-date training and information and met authorization standards. The Chief Security Officer now has real-time and accurate information to monitor training compliance and help ensure personnel receive the critical information that this federal agency is responsible for delivering. The federal agency staff members also benefited from centralizing all personnel and course information and leveraging Acadis’ automated workflows and communications, which cut their manual administration processes by 50%. In one program that was delivered to more than 2,300 students, all course materials (i.e. PowerPoint), communication, and course acknowledgements were automated and completed within Acadis. Previously this process included sending thousands of emails with PowerPoint attachments, and then requiring recipients to download an acknowledgement form, sign it, and email it back to the agency.
