How the Acadis® Readiness Suite Enabled 100% Efficiency Gains in Federal Training Operations
Industry:
Solution:
Background
Coordinating federal security and defense training operations involves significant planning and effort, especially for federal security and military agencies that have very large and dispersed operations across the U.S. and abroad. An additional layer of complexity involves coordination with state and local law enforcement and special teams to align on incident command and co-response protocols. The massive amount of logistics and communications needed to manage such an operation presents ongoing challenges in standardization and efficiency, necessitating a comprehensive federal training solution.
The Challenge
Prompted by a Congressional report, the federal agency identified the need to consolidate 11 separate federal training facilities into one site to improve training efficiency, decrease operating costs, and provide priority access to training venues that met current facility standards. To achieve these goals, the U.S. Federal government constructed a training facility that spanned over a thousand acres and involved a massive logistical undertaking to schedule resources, students, and instructors — and to administer, track, report, and measure all the training across dozens of training venues and buildings, hundreds of training vehicles, and thousands of students. The federal agency required a federal training management system (TMS) that could meet its unique and demanding needs.
The Change
After evaluating several systems, the federal agency selected the Acadis® Readiness Suite, a federal TMS, to replace its manual and fragmented processes. Acadis has automated and optimized complex scheduling for the agency’s training facilities, lodging, resources, students, and instructors—saving administration time and improving efficiency more than a hundredfold in overall training operations.
By leveraging Acadis’ facility availability views and daily briefing reports, the federal agency was able to reduce in-person meeting time formerly required to coordinate training rooms, equipment, facilities, and personnel—reducing in-person time by 85%.
By automating processes that were previously paper-based and manual, the federal agency saved significant labor and paper expenses. For example, the training course packets for each student were previously collated and created manually. By storing the course packets in Acadis, course packets were digitized, paper was eliminated, and the federal agency reduced time spent on course packets by 24%.
In addition to the time and cost savings, tremendous value has been realized since implementing Vector’s federal TMS to automate and improve its training program, including these critical components for mission readiness:
- Enabled online learning to incorporate a blended training program that improves skill competency and comprehension and maximizes in-person training time.
- Consolidated systems that enabled better tracking of all student training and forecasting capabilities to help staff and instructors gain accurate details for planning.
- Standardized training processes across all training programs enabled real-time measurement of training effectiveness.
- Access to legally comprehensive and defensible training records which helps protect this federal agency from litigation.
Return on Investment and Innovation
- By adopting a purpose-built system for large-scale public safety training, the federal agency significantly improved efficiency across its training facilities, lodging, resources, students, and instructors—achieving a hundredfold increase in operational effectiveness.
- Standardized templates and centralized facility management have helped the agency streamline training setup and scheduling, eliminating time-consuming manual processes and reducing reliance on paper-based systems.
- With automated reporting capabilities, instructors, students, and administrators now receive critical training information more efficiently, improving communication and alignment by 200 times over previous methods.
- Transitioning from paper-based course packets to a fully digital federal training solution has reduced administrative workload and improved efficiency by 24%, ensuring faster and more reliable access to training materials
