Hutto Police Department Streamlines Operations with Check It Amidst Rapid Community Growth

The Challenge
Rapid growth can stretch even the most well-run police departments. For Hutto (TX) Police Department, population growth driven by major corporate investment has been a major challenge.
According to a Support Services Lieutenant with Hutto PD, the department had previously relied on paper forms. It disconnected spreadsheets for much of the administrative work needed to keep operations running, including inventory, fleet, and other asset management processes.
In the past, Vehicle inspections were conducted on paper, equipment inventory was documented in spreadsheets, and maintenance requests were handwritten. According to the Lieutenant, these processes were “very antiquated, very 1990-ish,” making it difficult to move quickly or maintain real-time awareness of operational readiness.
As the city grew and demands increased, the department needed a faster and easier way to manage vehicles, equipment, and inspections.
The Change
While the agency has increased its officer count in recent years, the community’s rapid growth has outpaced administrative processes. The increase in population and the unique challenges that came along with it motivated the agency to modernize its administrative processes.
After researching what Vector could offer at an industry conference, the agency chose Vector Solutions as its technology partner.
“They gave us a full demo and pretty much had me sold on the conference floor because they could help me with everything I was trying to get accomplished,” the Lieutenant said.
By partnering with Vector for asset management, Hutto PD has modernized asset, inventory, and fleet management.
One of the major benefits of Check It came with vehicle inspections. What had once required multiple supervisors, clipboards, and hours was replaced with a mobile inspections app that allows officers to complete inspections directly on their phones. Vehicle inspections that once took three to four hours can now be completed in minutes.
“It went from vehicle inspections taking the better part of three to four hours to… within 10-15 minutes,” he said.
Fleet maintenance is also faster and more transparent. Officers submit repair tickets from their phones. Failed inspection items can generate work orders instantly, reducing delays and helping return vehicles to service sooner.
Using a mobile device for inspections instead of paper and clipboards has also been a popular advantage.
“They appreciate being able to do vehicle inspections on their phones,” the Lieutenant said. “That was a game changer for a lot of them.”
Check It also helped Hutto PD centralize inventory management. Equipment rooms were organized digitally, allowing the department to track usage, audits, and minimum stock levels in one system.
With real-time visibility of stock levels, the department avoids extraneous purchases and can quickly confirm whether items are missing or simply misplaced.
“Check It has definitely saved us money,” the Lieutenant said. “It helps us avoid spending money unnecessarily just because we can’t find something.”
Check It also supports long-term planning. By tracking ammunition usage year-over-year, the department now has a much more informed perspective when requesting funds during budget season and can justify those requests with documented data.
“We actually have documentation to support this is what we need and why,” the Lieutenant said. “We know when we’re getting low, and that’s allowed me to plan accordingly, especially when it comes to ammunition.”
As an agency accredited through the Best Practices Accreditation Program, which is administered by the Texas Police Chiefs Association, Hutto PD must pass periodic audits to retain its accredited status.
“One of the areas checked is how we manage our inventory and how we conduct inspections,” he said. “Thankfully, we had gotten Vector off the ground in time before our accreditation audit.”
During accreditation audits, Check It provides immediate access to inspection records, equipment assignments, and maintenance history, helping demonstrate compliance and professionalism.
Most importantly, these efficiencies allow the department to do more with limited staffing. By reducing administrative friction, supervisors can focus on readiness, accountability, and proactive planning instead of paperwork.
